When Should You Start Your Study Abroad Application? A Month-by-Month Timeline

If there's one thing that quietly costs students a seat — or a scholarship — it's starting late. Study-abroad timelines look generous until you work backwards from the intake date and realise how much has to happen first. Here's the schedule we plan against with families in Siliguri.
First, anchor to your intake
Different countries have different main intakes, and everything counts back from there:
- UK — September is the main intake (with smaller January and May windows).
- Australia — February is the main cycle; July is real but smaller.
- USA — Fall (August/September) is the big one; Spring (January) is secondary.
- Canada — September leads, with January and May behind it.
A simple rule: give yourself 9 to 12 months before your intake. For a UK September start, that means beginning by the previous September–January at the latest. Germany needs the most lead time — nine months, not the four some agents claim — because of document attestation and visa appointment queues.
Working backwards, month by month
Here's roughly how the year breaks down for a September intake. (Shift the months for other intakes; the sequence stays the same.)
- 9–12 months out — Profile read, destination and university shortlist, and book your English test (IELTS, PTE or TOEFL). This is when our Course Finder earns its keep.
- 7–9 months out — Drafting the Statement of Purpose and LORs, gathering transcripts, and submitting applications. The earlier the better — scholarship windows are widest now, and most universities publish updated scholarship lists in December.
- 5–7 months out — Offers start arriving. You compare, decide, and accept. This is also when funding has to be locked — a GIC for Canada, a blocked account for Germany.
- 3–5 months out — Paperwork: documentation, financial proof, and interview practice. Small errors here cause big delays, so it's worth preparing carefully.
- 1–3 months out — Accommodation, forex, flights from Bagdogra, SIM cards and pre-departure. The unglamorous part where a good counselor quietly earns their keep.

The traps that catch North Bengal students
A few specific ones we see every year:
- Treating January as "plenty of time" for a September UK intake. It isn't late, but it's the start line, not a buffer.
- Leaving the IELTS for last. Book it early. A retake you didn't plan for can cost you an intake.
- Confirming accommodation after paying a deposit instead of before. In cities like Dublin, housing is the real bottleneck.
- Underestimating document attestation, especially for Germany. Start it early.
Earlier is cheaper, not just calmer
